The 10 Best Productivity Tools for Coaches and Entrepreneurs
Whether you’re running your business solo or have a team, productivity is essential to keep your business running smoothly.
Now productivity doesn’t mean being endlessly prolific or overworking! On the contrary, productivity at it’s best is about keeping your projects on task and moving forward at a pace that both meets your deadlines and accounts for change!
Some people are naturally productive - I happen to be quite lucky in that department by chance - but I know for others it can be more of a struggle. Which is why in this post, I’m listing the 10 best productivity tools for coaches and entrepreneurs.

1. Notion
Every business owner needs an organized project management system! Find the one that works best for you and your business, and then dive in to make it your own! My favorite is Notion*, but there are many other alternatives, such as Monday, Trello, Asana and ClickUp.
My best advice is to give a few different tools a try and pick whichever works best for you & your brain.
2. Dubsado or HoneyBook or 17Hats
A good CRM (Customer Relationship Management) with automated workflows and templates can save you so much time on admin if you work with clients by streamlining your invoicing, contracts, questionnaires and onboarding.
Dubsado and HoneyBook are very popular options but I personally used 17Hats* when I did custom projects as it was more affordable and worked for me in Europe.
3. Pabbly Connect
Pabbly Connect* can connect all of your other apps and pass information from one app to another. Want any new calendar meetings to be added to your project management system automatically? No problem with Pabbly! And that’s just the beginning. The opportunities for automation and workflows with Zapier and your other tools are endless.

4. Content Snare
If you need to collect information from a client, Content Snare is an excellent streamlined way to do that. For example, if you are a website designer, create a template in Content Snare that requests all of the information you need from the client before getting started on their project. They even send out automated reminders when the information hasn’t been provided and filled out yet.
Tally and Typeform are also great options for custom forms.
5. Google Drive or Dropbox
Keeping all of your documents and files organized online is made easy with either Google Drive or Dropbox.
Creating a good file organization system is going to be key to quickly find what you’re looking for. I like to have set folders for each area of my business and for each project, and then use a standard file naming convention so my content is easily searchable.
6. Slack
If you have a team, I highly recommend Slack for your team communications.
You can create multiple channels for the different aspects of your business, such as customer service, client management, marketing, etc.
7. RescueTime
Do you feel like you are wasting time online and not sure where all of your time goes? Download the RescueTime Chrome extension, and you’ll be able to see reports on where you are spending your time so you can make better use of the time you have.
8. Grammarly
If you do a lot of writing for your business, Grammarly is a really great tool that saves you time on proofreading and editing.
This is particularly helpful if you work in a language that isn’t native to you, are dyslexic or are a clumsy typer, like me!
9. AirTable
AirTable* is so much more than a spreadsheet or database tool. You could use it to collaborate with team members on a wide variety of projects or just keep a database of all of your essential information. There are also some really cool automation you can set up and even sent out email reminders when certain conditions are met which is super handy for managing group programs or organizing collaborative events!
10. Gmail Templates
If you are sending the same email over and over again, it’s about time to save that email as a template in Gmail!
I particularly love having my canned responses for tricky client situations ready to go so I don’t have to worry about what to say in the heat of the moment.
